Welcome to Our Latest System Updates!

We are delighted to introduce the newest enhancements and features in TimeGuru, designed to optimize your time tracking and project management.

Our latest update brings a variety of new tools and improvements, making it easier and even more flexible to use the system effectively.

Updates have been gradually added since September 2024, so you’ve likely already discovered some of them.

Video Training While not exactly a system update, we want to highlight our new video introductions. Since our last update, we’ve created the following videos:

  • User Introduction: A 8-minute overview of the dashboard and weekly timesheet.
  • Leader Introduction: A 7-minute overview of leader functions.
  • Administrator Introduction: A 7-minute guide to basic admin functions.

You can share these videos with your new users and leaders, making it easy for them to get started with TimeGuru quickly. The videos are available in the support menu, on our website, or by clicking here.

New Features Categorized by Topic

Dashboard

We are continuously working to add new widgets and optimize the functionality of existing ones. You can enable or disable widgets by clicking on the wrench icon in the top right corner of the dashboard.

The following updates are now available in “My Dashboard”:

New Widget: Weekly Plan for Employees

This widget provides a quick overview of absent employees for the current week. It’s also possible to scroll through different weeks. By default, it shows absences and vacations, but you can also display selected activities like flex days or remote work. This ensures managers have a complete overview of who’s in the office and during which hours remote workers can be contacted.

Absence Widget

We’ve updated the functionality to make it more intuitive whether you want to activate automatic registration or not.

Mileage Widget

You can now register mileage directly from the cockpit using the “Mileage” widget. Click “New” to create a mileage entry.

Colors in the Weekly Graph (both dashboard and weekly timesheet)

Administrators can now set fixed colors for activities displayed in the weekly graph. These colors will apply to both the dashboard and the weekly timesheet.

Approval Widget (for Leaders and Admins)

You can now click “Show Settings” directly in the approval widget to customize what is displayed and choose whether to receive notifications for pending requests.

Please note that some new features need to be activated by an administrator.

The following options are now available:

Automatic Weekly Time Registration

TimeGuru can now automatically fill out the weekly timesheet once the week has passed.
An email with details will be sent to the user, allowing them to “Approve” or “Edit” the week’s entries. When the week is filled out, it considers already registered time, vacation, and absences.

To enable this feature, the administrator must activate it in System Settings > Tab 2 >”Allow One-Click Time Registration.”

Users can then fill in their standard times and activate automatic registration in their user profiles.

Administrators can choose whether automatic registration runs on Sunday afternoons for the current week or Monday mornings for the previous week, depending on their preference for receiving company emails.

Activity Time Registration via Manager Approval

Selected activities can be marked as requiring leader approval. When this setting is enabled, the employee must request to use the activity, and the registration will be created upon leader approval.

Updates for the administrator

Account Statement for the Hour Bank

It is now possible to extract a complete account statement for the time bank via Administrator Tools > Adjust Hour Bank. Simply select the employee, and you can download an Excel file containing all entries.

Shared terminal

Geolocation Activation

We’ve introduced the option to enable geolocation, which allows the location to be recorded during cleck-in and cleck-out. This feature is particularly useful for those granting employees access to punch in and out using a PIN code from their personal phones—for instance, at construction sites or customer visits.

Button Removal and Auto-Logout

Additionally, there is now an option to remove buttons and automatically log out after 4 seconds.

Projects, customers and invoicing

These updates are particularly relevant if you use the project module or invoicing in TimeGuru. Here’s what has changed:

  • Expanded Project Pricing Model:
    It’s now possible to assign project member prices without using sub-tasks.
  • Subscription Runs:
    You can now decide how the invoice date should be set—for example, the last day of the previous month or the first day of the current month. The due date is then calculated based on the selected date setting.
    You can configure the subscription date via System Settings > Tab 5 > “Invoice Setup”.
  • Default Billable Checkbox for Time Tracking:
    If you’ve activated the billable checkbox during time tracking, you can now set whether an activity is marked as billable by default.
  • Automatic Project Number Series:
    You can now auto-generate and run different project number series based on project types.

Integrations

TimeGuru API Expansion

The TimeGuru API has been significantly expanded, allowing for the exchange of even more data. It is now possible to create time registrations with support for payroll calculations and mileage entries from other systems.

These enhancements have enabled close integration with Uniconta projects and invoicing, as well as Dynamics 365 Field Service. Furthermore, a new payroll export feature has been added to support Salary.
