This is the guide for you if you’re new to TimeGuru or want a refresher.

Dashboard – Status and Real-Time Statistics
You can access your Dashboard by clicking on the TimeGuru logo at the top of the page.
The Cockpit consists of numerous widgets. The smaller colored ones at the top are less detailed, while the larger ones provide more detailed information. You can choose which widgets you want to be using by clicking on the wrench in the top right corner.
Here sees a Dashboard with all widgets ticked off (This is all the widgets an administrator can tick off. Users and leaders will have less widgets to choose from):
Small Widgets:
- Switch User (Only visible to Administrators and Superusers.)
- Dashboard Settings (Use checkmarks to toggle widgets on and off.)
- Time (Displays the sum of your hours for the current week and month.)
- Expenses (Shows the sum of private expenses for the current week and month.)
- Kilometers (Indicates the total travel reimbursements for the current week and month.)
- Flex Time (Displays your flex balance from yesterday and the actual balance for today.)
(Your daily norm is subtracted daily, and as time progresses, hours are added. Click on the calendar to select a specific date to view the flex balance.) - Time Bank (Shows your accumulated hours in the time bank (often hours from agreed overtime).)
- Leave Registration (Record absences directly from the dashboard. If you tick off ‘Start automatic daily registration’, the system will automatically register your absence until you click ‘stop daily registration’.)
Large Widget:
Your Projects:
You can sort by department hours if, for example, you only want to see how many hours a single department has recorded on various projects. Click on the message icon to get more details about the project. You can view the budget and expenses, both in hours and currency, providing a clear overview of the project’s finances.
You need to be a key person on the project to view the project in the widget.
Time Registrations:
A bar chart provides a quick overview of the week and includes a quick link to your timesheet.
Annual leave/Vacations:
This widget hows all the vacation types you are a member of.
Click on the small “i” icon to view the total earned and various adjustments.
The “i” icon shows you a bit more detail about your annual leave and vacations.
Absent Employees:
Visible to Administrators, Superusers, and Department Leaders. Leaders can only view their own department.
User Requests:
Request vacation, transfers, payouts, or Hour bank leave/payouts, etc.
Make sure to check if your leader approves or declines your requests.

Approve/Decline request:
(Visible to Administrators, Superusers, and Department Leaders)

Worksheet
You can access the timesheet by clicking on the quick link directly in the widget ‘Time registration’ or through the menu ≡ in the top left corner.
In the timesheet, you can register working hours, absences, mileage, and expenses. It is also possible to register vacation directly in the timesheet if the system settings allow it. Typically, vacation is requested via the ‘Request’ widget, pending leader approval.
Depending on system settings, options and required fields may vary.
Time Registration:

Specify your start and end time.

Enter the number of hours (corresponding to 8 hours per day if you’re employed for 40 hours weekly).

Alternatively, click on the green clock at the start of your workday (records real-time) and the red clock when your workday ends.
Click on the save icon after you’ve completed your time registration. Your time will now be saved, and the system will automatically update graphs, flex calculations, vacation/absence, and other statistics.
If you’re making a start/stop registration instead of entering specific times yourself, but you are using the clocks, you can end your time directly in the worksheet, instead of having to open the registration by clicking ‘end’ on the registration:
Important: For registering vacation and sick leave, it’s not necessary to enter hours if it’s for an entire day. The system will automatically determine this based on your norm time setup.
Sometimes it’s necessary to revisit past registrations from way back. That’s why we’ve included a calendar feature, which quickly helps you locate your old timesheets.
You simply click on Week “x” on the top of the page and a calendar appears.
Leave Registrations:
If you want to register sickness for a single day or retrospectively, it can be done via the timesheet as a regular time registration. Simply select an absence activity instead of, for example, “Work.”
Automatic Registration:
On the dashboard, you’ll find a “Leave Registration” widget.
Firstly you select a reason.
Choose a start and end date for the registration. (Selecting a date in the past will register only that specific date.)
Click then the safe icon to add the registration.
After the system asks you if you would like to start automatic daily registration. enabling this means that the system will keep filling in your worksheet with the leave registration selected, until you stop the automatic registration again.
If absence is activated because you leave work sick, the system will automatically deduct your recorded work hours.
If auto-registration is deactivated after the company’s “closing hours,” the sick leave for the current day remains recorded, but you will not be registered as sick for the following day.
Auto-registration also integrates with the calendar and keeps track of sick days for reimbursement purposes.
Leader approvel of worksheet:
If you see this orange box under your timesheet, it indicates that you need to or can submit your timesheet for approval after the week has ended.
Setting of worksheet:
Like on the dashboard, we have a wrench tool in the worksheet as well.
In here you can set your worksheet up exactly how you want it. Lets say you have a fixed start and end time every day, you can set it here, for example 8 to 16. Here you can also tick off individual pauses (for users, if agreed with your leader). You can also remove saturday and sunday if you don’t work weekends.
You can also set your default activity. Remember to press save when you are done.
Reports
On the report icon in the top line (Lightning icon), you’ll find TimeGuru’s reports.
A common feature of all the reports is that they provide you with a quick overview of your personal records.
You can print or save the reports as PDF or Excel files.

Personal Settings
On the person icon in the top line (to the right of the report icon), you can access personal settings.
Here, you can edit your profile, change your password, or manage external logins.
With external logins, you can add an alternative access method to the system, other than the one you initially logged in with. You can choose between Google and Microsoft.
