Project Management & Gantt Charts For All Purposes
Project management can take many forms. A project is characterized as “a unique, time-limited task accomplished with limited resources by a temporary project organization.” Additionally, projects are often considered “the vehicle that takes the company from point A to point B when changes need to be implemented.” This is why projects and project management play a crucial role when changes are made within a company or for clients.
TimeGuru can be an essential tool for this purpose.

Project management in daily operations
In daily operations, the concept of a project is used broadly. Projects are not always unique or have their own organization. Instead, they are often used for ongoing billing of services and collection of expenditure. Therefore, projects can be used in a simple manner or divided into subprojects, tasks, etc.
With TimeGuru project management, you can easily get an overview of your company’s projects, whether they are large or small, internal, or for clients. Even if there is just a need for an extra dimension in time tracking. You can decide how advanced your project management needs to be. Try our simple Gantt chart planning or break down projects into subprojects and get a full overview of resources, time consumption, progress, risks, project finances, and invoicing.

The project module is fully integrated with TimeGuru’s other modules. Below, you can read much more about TimeGuru project management.
Project structuring in hierarchies and groups
The project module supports project hierarchies, with or without tasks. This applies to financial reporting, time tracking, and Gantt charts (also known as bar charts). By building project hierarchies, it is possible to staff, price, and estimate each subproject individually. The hierarchies are easily built by linking projects to each other as main or subprojects.
Additionally, projects can be divided into project groups, if you want a cross-sectional project dimension.
Project overview with Gantt charts
Viewing projects via the Gantt chart is an easy and clear method to get an overview of the company’s projects. The Gantt chart is especially useful for tracking projects over time across project managers, project groups, clients, and hierarchies.
The Gantt chart overview includes the following features for project managers:
- Display of projects and project hierarchies over time.
- Display of progress percentage (budget vs. actual time consumption).
- Zoom in on daily, weekly, monthly, or yearly levels.
- Scroll back and forth in the timeline.
- Moving of projects and subprojects.
- Adjust start/end dates using drag and drop.
TimeGuru project management and the Gantt chart also work on your mobile device. You can even “swipe” back and forth in the timeline.
Employee Scheduling
Once projects are set up, you can assign your employees to them. This is necessary if you want to:
- Estimate time and budget for the project.
- Display only relevant projects during time tracking.
- Provide employees with quick-registration access for scheduled projects.
- Manage projects with detailed planning.
Scheduled work will now appear in the worksheet, where you simply finalize it to track time. Below is an example of a worksheet with 3 scheduled tasks on Tuesday. By completing these tasks, a time registration is automatically created. Additional time can be registered by clicking the clock icon (+Time).
Risk Management – Be prepared for project risks
An important element of project management is considering and understanding the project’s risks. By identifying these risks, you can better anticipate their consequences and consider possible mitigation strategies. Risks are typically categorized based on their severity to the project’s timeline and budget.
With TimeGuru project management, you can create a risk register for each project or consolidate all risks at the main project level. Regardless of the method, it’s easy to get a comprehensive overview of risks across projects and portfolios. When a new risk is created, you need to fill out the potential consequences and mitigation as well as possible deadlines and responsible parties.
Time tracking on projects
TimeGuru project management is fully integrated with the system’s other modules, including time tracking. You control which fields are displayed in the tracking and which are mandatory.
Your company benefits in many ways by tracking time on projects, such as:
- Detailed overview of time spent across departments, projects, activities, and clients.
- Ability to monitor project progress and re-estimate budgets.
- Evaluate completed projects to improve planning for future ones.
- Invoice clients or create a basis for internal billing between departments.
- Detailed documentation of work performed, including the option to attach photos to projects.
If you only need to use project management internally within the company, your worksheet can be expanded to include project selection. Go to the menu Settings -> System settings and adjust item 3 accordingly.
Project Follow-up
When your company completes projects, there is typically significant interest in whether the timeline and budget are being adhered to. This interest often comes from project managers, project owners, department leaders, executives, boards, and business owners. The need for information varies. Therefore, project reports include, among other things:
- Budgeted and actual time.
- Project finances based on fixed price or consumption.
- Progress and key metrics.
- Risk assessments.
A unique feature of TimeGuru project management is that you can generate key metrics across entities such as clients, departments, project groups, hierarchies, and project managers. These metrics provide detailed insights into the efficiency of the selected entity compared to the rest of the company.

Invoices of Projects/Project Invoices
TimeGuru includes a complete invoicing module. This module can be used to create offers, orders, and invoices. By setting up subscriptions, client and project invoices can be automated. This includes individually customized invoice layouts for each client or project. The system supports both fixed-price and consumption-based invoicing.
Time/Project
Many projects are billed based on consumption. This involves collecting data on used time of clients and projects for further invoicing. In addition to time tracking, TimeGuru offers mileage registration with automatic distance calculation and expense tracking with receipt photos. Sometimes there is a need to adjust billable time. Therefore, it is possible to correct billable hours without affecting the employees’ work hours or flextime balance. Both work hours and billable time are visible in administrative reports.
Fixed Price
Fixed-price projects require different project management and invoicing approaches. Typically, the focus is on completing the task satisfactorily while minimizing time expenditure. Invoicing for fixed-price projects can be set up in the subscription module as one-time payments or periodic invoicing.
Project Integration
The project module in TimeGuru can be integrated with other solutions. Typical reasons for integration include:
- Projects are created in the financial system and need to be transferred to TimeGuru.
- Invoices and/or consumption data need to be sent back to the financial system.
- Project staffing data needs to be pulled from an advanced planning system.
TimeGuru supports all modern forms of integration. If you, as a customer, wish to develop integrations yourself, this can be done via the TimeGuru API.
